From Class Journal to Studio Platform: What to Migrate First (Without Killing a Single Session)

Yoga, fitness, dance, and martial arts studios run on a schedule, not on bookings. Here's the migration order that doesn't blow up a single class.

Quick answer

A studio migrates off its class journal in this order: schedule and instructors first, then active class packs, then visit history for the last three months. Don't drag along anything older than six months — you won't use it. Most studios get fully onto the platform in 4–6 weeks if they keep schedule and packs on separate weeks.

A studio isn't a court club. A court sits there and waits for someone to book it; a class starts even if two people show up. That's why a studio migration works differently from a padel- or tennis-club migration: Phase 1 isn't bookings, it's the schedule.

What a paper journal actually breaks

A class journal holds three jobs in parallel: who showed up today, whose pack is still active, and how many sessions are left on it. A miss in any of the three lands on the front desk a week later, when a member says "I had four classes left" and the journal says two. By that point, no one remembers who's right.

The average studio loses 5–9 hours per week to reconciling visits against active packs. Over a season that's six weeks of an admin's time.

The break point usually shows up with an instructor leaving. The journal — the one that lived in a shared notebook — walks out the door with them, and the front desk spends three weeks rebuilding pack balances from receipts and WhatsApp messages. After that, the manager is the one asking for a platform.

The order that doesn't blow up a class

Phase 1: Schedule and instructors (weeks 1–2). The schedule is visible to members from day one, and any error shows up the same day. Migrate recurring slots ("Hatha Yoga, Mon/Wed/Fri 19:00, instructor Anna"), class categories and levels (beginner / intermediate / advanced), and instructor swaps for the coming month. The historical schedule doesn't need to come along — no one will open it.

Phase 2: Class packs and memberships (weeks 3–4). The most sensitive phase. Migrate active packs with their remaining balance ("6 of 10 classes left, expires June 15"), freeze dates if any, and the price the member actually paid — not the price from the current rate card. If a member's journal says 10 classes and you migrate 12 or 8, that pack turns into a dispute. Move it one-to-one.

Phase 3: Visits and history (week 5). Migrate the last three months of attendance — enough for instructor-utilization reports and cohort views. Don't drag anything older: neither LTV models nor seasonal reports need data older than a quarter.

Phase 4: Drop-ins and gift certificates (week 6). Cash drop-ins, intro-class gift certificates, corporate packs — the things studios usually forget. Do them in one block at the end, once the front desk is fluent in the new system.

What to leave behind

  • Anything in the journal older than six months. Nobody uses it operationally. CSV to archive.
  • The "who I gave a free trial to" column from an instructor's personal spreadsheet. Those people are either already on a paying pack or they never showed up.
  • The "Yoga 19:00" WhatsApp group. Keep it as a chat for now — but class signups go through the platform only. Otherwise the admin spends the week typing "please use the website."
  • The hand-tracked "every 10th class free" loyalty column. The platform counts that automatically from visits — the old column goes obsolete the day you migrate.

What's different about studios, and why it matters

In a court club, the unit is the booking: one slot, one paying party, one price. In a studio, the unit is the visit-against-a-pack — and it drags two more variables: pack balance and pack expiry.

From there, the front desk stops being an archive of notebooks and goes back to working with members — calling the ones whose pack expires next week, instead of reconstructing balances from memory.

The paper journal in the back room — keep or burn?

Keep it three months. It's your insurance if the new system shows a wrong balance. After three months, the reconciliation is consistently clean and the journal can go.
